Terms & Conditions

The terms “Swallow Tail” “we” and “our” refer to Swallow Tail Tours, a BC sole proprietorship, an event producer and tour operator which offers and operates all the trips and events listed herein. All trips and events are offered subject to Swallow Tail’s standard terms and conditions, which are found on our website here and by request. Please review the terms and conditions carefully prior to completing your reservation. Some of these terms and conditions are set out below to draw your attention to the fact that our obligations to you are limited.  Please read them carefully.

Swallow Tail Event Tickets

Due to the nature and popularity of Swallow Tail’s various culinary events, we have had to initiate some very strict terms and conditions when it comes to booking. Similarly to tickets to events such as hockey games, music concerts and other entertainment style events, Swallow Tail’s tickets are non-refundable after purchase and may not be transfered to another event, without specific written consent from Swallow Tail, and this will only be given in very special circumstances. Tickets however are transferrable to a 3rd party and may be used by someone else, so you may sell or give away your tickets for an event if you are not able to make it. Therefore, before you book, please note that all tickets sold are non-refundable and may not be exchanged or rescheduled. In the rare situation where we cancel an event that fails to attract minimum enrollment, we will contact you ahead of time to reschedule your tickets or issue a full refund, whichever you prefer. We reserve the right to limit the number of participants and to cancel an evebt that fails to attract minimum enrollment. Events are, generally, held rain or shine.  While we appreciate it is difficult to plan and purchase tickets many months out, which is generally the case in some of our events due to popularity. We also realize that this provides you the opportunity to plan around the event and make it your top priority.  Our prices are in CDN dollars.

Swallow Tail Tour Tickets
In the rare situation where we cancel an event that fails to attract minimum enrollment, we will contact you ahead of time to reschedule your tickets or issue a full refund, whichever you prefer. We reserve the right to limit the number of participants and to cancel an evebt that fails to attract minimum enrollment. Events are, generally, held rain or shine.

PRICES, RESERVATIONS AND PAYMENT*
Our prices are in CDN dollars. We charge a single supplement to individual travellers who wish to ensure that they have private rooms throughout a trip. To reserve your trip, we require a deposit of 50% of the cost of the trip per person. The balance of your payment is due 90 days prior to departure. If reserving your trip within 90 days of departure, full payment is required. To complete your reservation, you must complete, sign and return a Traveller Information Form and an Acknowledgement of Risk, Release and Indemnity within 14 days of the receipt of your confirmation package, which will include these forms. These forms may include additional terms and conditions of travel, including limitations of our obligations to you. Prices for our custom trips are quoted as part of the trip design process, and are not final until final payment has been received.

CANCELLING/SWITCHING TRIPS
If you must cancel your reservation, the fees for doing so are as follows:

DAYS PRIOR TO DEPARTURE CANCELLATION FEE
90+ days: Full refund or trip credit
31-89 days: No refunds, trip credit at deposit amount
30 days or less: No refunds, deposit is forfeit

Should you cancel your reservation more than 90 days in advance of the departure date, the entire per person deposit is transferrable as a future trip credit to be used by the same traveller towards a Swallow Tail trip departing within 24 months of the original trip cancellation date. This credit cannot be extended beyond 24 months but may be transferred to another trip only once. Between 31-89 days prior to your original departure date, you may transfer to a different trip in the same calendar year upon payment of a fee of CDN$50 per person. If you cancel this subsequent reservation, then the cancellation fees applicable shall be the higher of the cancellation fee on your original reservation or the cancellation fee on the trip to which you transferred. Within 30 days of departure, the regular cancellation fees will apply.

Cancellation by Swallow Tail
SWALLOW TAIL reserves the right to cancel any trip at any time for any reason determined in our sole discretion, including if there are too few participants, or if the quality of the trip or the safety of travellers is judged by SWALLOW TAIL to be compromised. In such a case, refund of payments received by SWALLOW TAIL shall constitute full and final settlement. In the event of cancellation, SWALLOW TAIL is not responsible for any loss incurred on account of non-refundable or non-transferable air tickets or other unrecoverable travel costs.

Eligibility – Age
We require that Swallow Tail Event ticket purchasers and all attendees be at least 19 years of age (at the time of the event), with the exception of “Young Adult” and “With the Kids” trips, where the minimum age is indicated by the age group designation and specified elsewhere on this website (5+, 8+, etc.)

Preparing for Your Trip
Our Swallow Tail Tours entail risks and rewards beyond those encountered at home. We count on our guests to ensure they are healthy and fit; to read our pre-trip materials for tours about clothing, training and medical requirements.

External Travel Services
SWALLOW TAIL may recommend the services of external travel companies or other support services in response to requests made by travellers for services outside of the scope of a SWALLOW TAIL trip. Although we endeavour to recommend only companies that provide the highest levels of service and work closely with them to try to obtain special treatment for SWALLOW TAIL travellers, we do not guarantee the services provided by third parties. SWALLOW TAIL is not liable for any injury, expenses or costs arising from any services, or lack thereof, provided by any third party nor the standards of care which travellers experience when using those services.

Health
By sending a deposit toward your trip purchase and returning your Traveller Information Form, you certify that you do not have any physical condition or disability that would create a hazard for you or other travellers and that you have received all appropriate or necessary vaccinations indicated by your proposed trip. Please consult your doctor.

Insurance
Before travelling on a Swallow Tail trip, we strongly recommend you review your personal insurance and health insurance to ensure you have coverage appropriate to meet your needs, and the needs of your family and dependants, in case of any loss of property or illness, injury or death.

Limitation of Liability, Release and Indemnity

When pricing each SWALLOW TAIL trip, we strictly and expressly rely on each traveller to read, sign and return our standard Acknowledgement of Risk, Release and Indemnity form. This document will be sent to you after you have paid your initial deposit. Please read it carefully. The document must be completed and returned to us at least 30 days prior to the trip’s departure. Our receipt of the completed and signed form will complete your reservation.*

Trips within British Columbia, Canada are subject to the applicable federal value-added tax (GST or HST), some of which may be recoverable by some travellers.
